Do you have a website for your facility or organization? If yes, you can now enter the address in DailyChildcareReport on the Facility Admin page. Once entered, parents will see a link to your website in DailyChildcareReport.

Also, when parents share photos on Facebook, the name of your facility will be displayed prominently and, when clicked, take the viewer to your website. Yes, this is free social media marketing for you :)

Automated Billing

DailyChildcareReport now has automated bill payments so you don’t have to keep logging into PayPal to send us your payments anymore. To get started with this, you just have to enter your credit card number, expiration date, and the three-digit number from the back of your card here.

The amount will be calculated just like before, typically every month. But instead of sending an invoice the day before the next billing cycle, DailyChildcareReport will automatically debit your credit card at the beginning of your billing cycle and send you a detailed receipt.

We hope that you will take advantage of this new convenience. Should you prefer to continue paying us manually through PayPal or by sending us checks in the mail, you’re welcome to do so.

Apple released new software for iPhones and iPads called iOS 8. If you are using DailyChildcareReport from your iPhone or iPad, we recommend you don’t upgrade to iOS 8 yet. iOS 8 has a critical defect that prevents uploading of photos and videos. Apple is aware of the problem and we will notify you once they’ve fixed it.

Childcare conference in Edmonton

We attended the Childcare Conference in Edmonton yesterday and it’s been really good catching up with old clients and meeting new ones. Our favourite moments are when we witness the reaction of people who are seeing DailyChildcareReport for the first time. Their quick progression from disbelief to excitement is just wonderful.

Better navigation

A new version of DailyChildcareReport will be released next week. All the links for getting from page to page have been organized into drop-down menus. Especially with tablets and smartphones, it’ll be easier to get around.

Automatic configuration

It’s now even easier to get started with DailyChildcareReport because you won’t have to configure the reports for each of your groups anymore. Just pick from a list of age-ranges and the rest will be done automatically for you. Of course you can still fine-tune the reports for your needs. But if you just want to quickly get your feet wet with DailyChildcareReport, you can do this now even … well … quicker.

Quickly moving children

Small efficiency update for teachers and managers today: For archiving or moving a child to another group, you don’t need to go all the way to the child’s edit page anymore. On the Children page is now a small button next to every child which, when clicked, allows you to this right there.

View and print today’s reports, Facebook messages discontinued

A new version of DailyChildcareReport has been rolled out with the following notable changes:

When the reports for a group have been filled out, you can now view them just like a parent would see them. This can be useful if you’d like to take another look before sending them out. It’s also a convenient way to print reports for any children whose parents have not yet signed up on DailyChildcareReport. If you find yourself using this on a regular basis, we’d like to hear your feedback!

In addition to email and SMS text message, parents were able to receive reports as Facebook message. Unfortunately, Facebook has become unreliable for receiving messages in the last month which is why we’re no longer able to support it. Fortunately, only 0.6% of all parents were using Facebook messages. We are contacting these affected parents to assist them getting the reports another way. Please note that this change doesn’t affect the ability to sign up and log in with a Facebook account which is still great for not having to remember another password.

Announcements, update emails, bowel movements

In addition to group-comments and facility-comments, there are now Announcements. Use Comments to write about things that happened today, use Announcements to write about tomorrow.


Facility Update Emails

We recommend you check DailyChildcareReport several times throughout the day for any updates. If, however, you prefer to be notified anytime something may need your attention, you can now subscribe to Facility Update Emails on your Account page. Then you will receive an automated email every time:


Bowel Movements

The Bowel Movements section has been changed so that you can record more than one BM per child. This will look familiar if you have seen the Infant Diaper Change or the Activities section before.

A few improvements

Dear teachers and managers,

You can now upload more than one photo at a time. If you have several new photos to distribute, this will save you some time.

The report emails for infants now include all diaper changes, feedings, and sleeps of the day. They used to include only the latest.

The sign-up process for parents and teachers has been improved. They used to have to pick your facility from a list of all facilities that are on DailyChildcareReport. This list has become a bit large, so it’s now broken down by country. As more childcare providers start using DailyChildcareReport, we’ll likely break this down further by state/province.

Reaching parents

Dear teachers and managers,

If you want to send an important message to a parent that can not wait for when the next reports are being sent, you can do this now. Click on “Children” then click on the child, and under the “Parent notes” section for that child is a new “Send new note to parents” button. The notice that you enter will be delivered immediately either by email or text message to the parents of that child.

Sometimes, parents sign up on DailyChildcareReport with an invalid email address or a bad phone number. Other times, they change their email address or phone number and forget to update DailyChildcareReport, or their mailbox is simply full. In all these cases, they don’t receive your reports and notices anymore. Parents don’t always realize that something is wrong and need to be told that they have to update or correct their contact information in DailyChildcareReport.

When the “Children” link in DailyChildcareReport is red, it means there is at least one parent that can’t be reached. Please click on the Children link to find out which parents are affected. Look for red flags indicating which children’s parents are affected; click on them for further details. The next time you see the affected parent, please tell them that it is important for them to correct their contact info so they won’t miss any information from you.

Attendance tracking

Dear teachers and managers,

DailyChildcareReport allows you now to track attendances. On the report-writing page, you can select for every child whether they are in or out. For children that are out, you don’t have to enter n/a in the other report sections any more.

DailyChildcareReport keeps track of the number of days each child has been absent. And as manager you can see absence statistics for each group and for the whole facility.

Videos and Documents

Dear teachers and managers,

did you know that you can upload photos in DailyChildcareReport and easily share them with parents? We highly recommend that you take advantage of that functionality because parents LOVE getting photos of their little ones. And when you’re using a mobile device like a smart phone or tablet it is even easier because you can take the photo and then upload it in one quick swoop.

What’s new is that you can now share videos as well. On the same page in DailyChildcareReport where you can upload photos, simply upload a video and it works exactly like the photo sharing. So next time the kids are doing something interesting, why not take a short video and share it with the parents?

Also new is document sharing. Documents like newsletters or info sheets can be uploaded and shared with individual or all parents. It works very similar to photo/video sharing.

Food and infant feeding improvements

Dear teachers and managers,

reporting served food has become easier. The food can now simply be entered in the reports. You don’t have to enter the meals ahead of time in the Foods section anymore (though you still can). While you enter the description of the meal, you will see suggestions of previous meals that match your entry.

With this improvement it is no longer necessary to archive/unarchive food, so this capability has been removed from the foods section.

The infant feedings report has been improved as well. For solid food you select the amount as small/medium/large. Also, you can optionally enter what has been fed, “strained prunes with cereal” for example.

Parent messaging

Dear parents,

you are now able to send messages to other parents on DailyChildcareReport. You could use this to organize a playdate, for example. Simply log in and click on “Message other parent.”

You can opt-out of parent messaging on your Account page in the “Allow” section (right next to where you can also opt-out from receiving update-emails like this one).

Infant sleeps and diaper changes, user names

Dear teachers and managers,

we have two new report sections for infants: sleeps to record the start and end time for every nap, and diaper changes to record the time and content for every change.

If you are a teacher and want to use Infant Sleeps and/or Infant Diaper Changes in your reports, talk to your manager to get them enabled for your group. You can also click on the Facility link to see which of your colleagues have manager-status.

Also, if you like you can enter your name now in DailyChildcareReport on the Account page. This is optional.

Infant feedings

Dear teachers and managers,

we are currently focussed on better reporting for infants. You can now track the time and amount of every feeding (milk or solid). Next on the roadmap: tracking time and duration of every sleep.

If you are a teacher and want to use Feedings in your reports, talk to your manager to get it enabled for your group. You can also click on the new Facility link to see which of your colleagues have manager-status.

Food and activities improvements, infant feedback

we have made it easier for you to manage food (meals and snacks) and activities. You can add one or multiple new meals/activities in one go. And if the food you’re serving is constantly changing, you can archive old entries so they don’t clutter up the food selector when writing reports.

Photos, more mood

Dear teachers and managers,

we are very excited to tell you about the latest enhancement to DailyChildcareReport: you can now upload photos and share them with the parents. If you are taking photos at your facility, parents will be very happy to get access to them.

It’s very easy to use! On the home page in DailyChildcareReport is a new tab called Photos. There you can upload photos, optionally add a caption, and select which children are in the picture. Parents of the children in the photo will automatically get access to the photo, and will automatically get notified in their daily report that new photos are available. A parent will not be able to see photos unless their child is in it.

Please note that if you are using an iPod Touch, iPhone, or iPad (our favourite for using DailyChildcareReport), you’ll need to upgrade to the latest iOS 6 to be able to upload photos.

A couple of months ago we added Mood to DailyChildcareReport. The feedback we received from some of you is that you’d like to report the mood twice a day. So now you can do that: you can add Morning Mood and Afternoon Mood to your groups reports, or keep using the existing (whole-day) Mood. If you are a teacher and want to use this in your reports, talk to your manager to get it enabled for your group.

Breakfast etc.

Dear teachers and managers,

If your children have two meals in the morning, you can now report on Breakfast in addition to Morning Snack. If you are a teacher and want to use Breakfast in your reports, talk to your manager to get it enabled for your group.

If you want to reply to a Parent Note, you can now click on the parent’s email address in the note which will open your email client so you can compose your reply. Eventually you will be able to write and send your replies from within DailyChildcareReport; this is just a stop-gap until we get there.

If you would prefer not to receive these emails anymore, you can now opt-out: go to Account and deselect “Email me with product or service updates” and click on Update to save. You can still stay up-to-date by reading our blog, liking us on Facebook, or following @DailyCReport on Twitter.

Updated ratings

Dear teachers,

one of the most asked questions is: what does Fair/Good/Great actually mean? The FAQ page has a description of these ratings, but now we are making them more explicit.

Also, comments in the reports are no longer limited to 254 characters. If you have the time to write longer text (and your parents like longer reports, too), you can now do that with DailyChildcareReport.

Archiving children

Dear teachers and managers,

DailyChildcareReport has an archival functionality for children now. If a child graduates or leaves your facility for another reason, you should click on Archive for that child. That moves the child’s records including their reports out of the way into a new Archived section (at the bottom of the Children page) where they will be stored for 18 months unless you delete them before then.

Archived children can be unarchived. So you could archive children that go on an extended vacation, for example, and then unarchive them upon returning. However, please keep in mind that no reports will be sent for archived children. So if you make an important announcement with DailyChildcareReport (for example, a fee increase), the parents of that currently archived vacationing child won’t be getting that note.

You shouldn’t need to delete children’s records unless it was created in error or for testing purposes. Only archived children can be deleted from now on.

Just a reminder: to move a child from one group to another, edit the child, change its group, and save.

Facility location and organization

Dear managers,

to keep up with the growing number of facilities in DailyChildcareReport, facilities have a location now. When you have a moment, please log-in and click on Facility to enter/confirm the city/province/country where you are located. This will take less than a minute of your time.

Also new is a billing-email-address for every facility. Invoices will be sent to that address. By default, the billing-email-address is the email address of the person who setup the facility in DailyChildcareReport; in other words: you. If you like to, you can change this by clicking on Facility and entering an alternative email address.

Finally, DailyChildcareReports now supports organizations. If your facility belongs to a company or group that has multiple facilities, they can be setup in DailyChildcareReport as an organization. This enables centralized billing and also allows administrators on the organization-level to see data for each of their facilities. Facilities that don’t belong to any company or group have their organization set to “Independent” which just means everything stays the same.

Dear teachers and managers,

If your facility has more than one group, there is now a new “All” group. When you have some news for all parents, you can enter it under “All” instead of having to enter it repeatedly for every group. For example, use this to remind your parents that your facility will be closed for the Easter long weekend.

Also, if your reports include lunch and snack menus, and if all children in your facility are getting the same food, you can use the new “All” group for this as well: under Facility disable the food-menus for your groups and enable the food-menus for “All.”

Report autosending

Dear teachers,

If you forget to send out the reports at the end of the day, they will now be sent automatically at 6pm.

However, note that if you rely on this you can’t be sure that everything has been filled out and also the parents will have to wait till 6pm. Your manager can change the time; if your facility is closing at 6:30pm, for example, auto-sending should happen at 7pm.
